Getting the data out of your suppliers

A filing does not fail on the form. It fails on the boundary nobody has, the country code nobody wrote down, and the producer who answers WhatsApp but not email. Clearlane turns what is missing into a request a supplier can answer from a phone in a field — and checks the answer before it reaches your record.

Where the work actually is

The filing itself is the short part. The long part is upstream: finding out which of your suppliers are missing a production place, working out what to ask each of them, asking in a channel they actually read, and then discovering that what came back is a photo of a map, a spreadsheet with latitude and longitude in the wrong columns, or a boundary that does not close.

Clearlane treats that as the product, not the preamble. The engine already knows exactly which fields are missing from which record, so the request writes itself — and the answer is validated on the way in rather than months later when the file is refused.

How a request works

Six steps, and the operator stays in control of the last one.

  1. Name the supplier and the gap

    You do not build a questionnaire. You pick the record, and Clearlane composes the request from the gaps the deterministic engine actually found — so a supplier is only ever asked for something that is genuinely missing.

  2. Clearlane mints an expiring link

    The link is scoped to that one request and it expires. It opens the questions in the request and nothing else — not your other suppliers, not your other filings, not your workspace.

  3. Share it the way you already reach them

    Your device share sheet, or a copied link. Whichever channel a producer actually answers — the one they already use — is the one that works.

  4. They answer on any phone

    No account, no app store, no password. The page works offline: a producer standing in a field with no signal can walk the boundary and answer, and it sends when the phone finds a network again.

  5. The answer is validated on arrival

    What comes back runs the same cited rule pack the free file check runs. A boundary that does not close, coordinates with the axes swapped, a missing producer country — each is caught at the door, named with the article it breaches, not discovered later.

  6. You review before it enters the record

    A supplier response is a candidate, not a fact. Every one is presented for you to accept or reject, and whichever you choose is written to the append-only trail with the answer it came from. Nothing enters your evidence silently.

What the supplier sees

A link, not an invitation to sign up

No account to create, nothing to install, no credentials to lose. The most common reason a supplier never answers is that answering was made into a project.

Only the questions that concern them

A request carries the gaps for one record. A producer is not asked to understand EUDR, only to answer what they already know about their own land.

A page that works without signal

Production places are not collected at a desk. The capture page is offline-capable and queues the answer until the phone reconnects, so a walk around a field is never lost.

What it will not do

It will not send a supplier anything you did not put in the request, and it will not treat their answer as evidence on their say-so. The link is scoped to one request and expires; the response is checked against the cited pack and then waits for a person. A supply chain runs on relationships, and a tool that quietly published a producer’s answer into a legal filing would be spending yours.
